Workspaces, teammates, and invitations
Keep personal audits separate from team work and give colleagues the access they need.

Choose the right workspace
Your personal workspace is private. A team workspace is a shared space for an organization, client, or project: colleagues work with the same sites and reports. Each workspace has its own plan and usage. Creating or switching workspaces does not move existing sites or reports.
Use the switcher below the sidebar logo to open another workspace or create a team. You can create up to 10 team workspaces. Owners can rename a workspace from Workspace settings. Always check the active workspace before running a check or changing billing.
Understand owner and member access
| Capability | Owner | Member |
|---|---|---|
| View shared sites, runs, reports, and evidence | Yes | Yes |
| Add/edit/archive sites, run checks, and review findings | Yes | Yes |
| Remove sites or reports | Yes | No |
| Manage schedules, workspace name, members, and invitations | Yes | No |
| Manage checkout, payment details, and plan | Yes | No |
| Leave a team workspace | No | Yes |
A team currently has one owner and supports up to 50 members. There is no owner-transfer control in the customer interface. An owner cannot remove themselves or leave their own workspace.
Invite someone with a single-use link
- As owner, open Workspace settings in a team workspace.
- Create an invitation with a label that helps you recognize its recipient or purpose.
- Copy the new invitation link and send it to the intended teammate yourself. CookieTrail does not send an invitation email.
- The recipient signs in, previews the workspace, and explicitly chooses to join. They join as a member.
Invitation links expire after seven days and can be accepted by one account. The full link is shown when created; it cannot be retrieved later from invitation history. If you lose it, revoke the pending invitation and create another. Treat the link as access to your workspace and send it only to its intended recipient.
An owner can keep up to 20 invitations pending and create up to 100 in a rolling 24-hour period. Revoke an unused link from invitation history when it is no longer needed. An expired, revoked, or already-consumed link requires a new invitation.
Remove access or leave a team
Owners can remove another member from Workspace settings. Members can leave a team themselves. This ends that account’s access to the shared workspace; its sites and reports remain with the workspace. An old accepted invitation does not let a removed or departed member rejoin.
When your active workspace is no longer accessible, CookieTrail returns you to your personal workspace. Marking Activity read is personal to your account, so it does not clear another member’s inbox.
